Managed Service FAQs: Hardware and Software

Hardware and Software are the foundation for any IT environment.  So when you sign on to work with a new Managed Service Provider (MSP) many buyers often wonder – who is responsible for the hardware and software?  It’s a great question that we often get which is tough to get a clear answer on.  So let’s walk through some of the basics.

Who owns the hardware?

Traditionally most hardware will be purchased and owned by the client.  Physical servers, desktops/laptops, switches and software are generally owned by the company utilizing them, but there are always exceptions.

Just the opposite is true for MSP Managed Firewalls, Backup and Wireless services that come with a device.  In these cases the Managed Service Provider will generally own the devices.

Where to buy your hardware & software

If you’re MSP resells hardware and software from big name manufacturer’s (Dell, HP, etc.) and they are reasonably priced try to use them.  They know your systems better than a Manufacturer’s rep or any other company so they will be able to make the best recommendations on what to get.  Generally your Managed Service Provider is only interested in you purchasing the right solution, not in how much they’ll make.  Check their prices and make sure you’re not being gouged but if possible work with your MSP.  Make sure your MSP is having one of your main technical contacts or a Sales Engineer put together the specification so you are getting the correct solution.

Why not buy from a Big Box retailer if you own a business and why not to buy “home” products?

Retailers such as Best Buy or Sam’s Club have highly discounted systems that don’t come built for a business.  (We recommend customers never purchase business PCs from a big box store.)  Now, there are always exceptions – so it’s important to acknowledge them… for instance Apple computers are always the same no matter where purchased and some big box companies do actually sell business-ready PCs, but it’s rare.  The cost of buying less expensive but more accessible computers at a big box store can sometimes double the price after cleaning unneeded software, making needed upgrades and correcting problems.  Here’s how:

  1. Labor for removing pre-installed software
  2. Expensive software costs for upgrades to the Home OS that it came with (so you’re paying Microsoft twice)
  3. Poor quality hardware and compatibility issues so the life of the computer is much shorter.

Having the right hardware and software is crucial to an efficient network.  The best Managed Service Providers will have the technical expertise required to specify, quote, install and configure a wide range of systems to meet your business needs.  When installation is complete they also should have a wide range of support services to optimize the productivity of your people.  Avoid the hidden costs and work closely with your trusted IT advisor.
